How to void a payment

This tutorial will show you how to void a payment transaction.

A void transaction does not refund a customer's payment. Voiding a transaction makes the transaction inactive. Once a transaction is void, you will not be able to process this payment. A new payment must be made for the order, if the order still needs to be completed.

Why void a payment?

Voiding a payment prevents the payment transaction from capturing the customer's funds. This means that you can only void a payment when the payment status is in the "Unprocessed" or "Authorized" statuses. You may void a payment after funds have been captured using the Edit Payment feature (see the Edit Payment tutorial to void a completed transaction), however this is only for notation purposes. For example, a customer who has returned an item for a full refund may wish to see that there previous, successful payment has been voided-- even though voiding it does not refund the customers payment, nor does it stop the transaction because the transaction has already occured. In this scenario, you would use the Edit Payment feature. Otherwise, if you want to stop a payment from being captured, follow these instructions:

Step 1. View the Payments page.

If the Payments page is loaded, skip ahead to Step 2.

  • Go to Order Manager by clicking on the Orders icon located in the upper-right corner of the Auctiva Commerce administration.
  • Find the order to be captured. Use the search tool if necessary. Click on the "Details" link to the right of the order to load the Summary page of the order.
  • Click on the Payments tab. This will load the Payments page that displays the order payment processing details.
Step 2. Void Payment.
  • Tasks: Select the Void option and click on the Enter icon to the right of the task. Enter a note if applicable. The note will be sent to the customer.
  • Click on the Void button. The Void Pending Payment Status will appear until the transaction is voided.

This completes the task of voiding a payment. You cannot undo a voided payment.
